Housing Arrangements

Once the summer begins, the university sponsor will work with the Residence Hall Conference Coordinator.

Two weeks prior to arrival, provide us with:

  • the final number of guests (male/female),
  • the number of double and single rooms,
  • a list of youth counselor names (for youth groups), and
  • the number of special needs rooms (disability or hospitality).

Two days prior to guest arrival:

  • pick up floor rosters/floorplans and keys/outside door access cards from the Conference Coordinator

Day of guest arrival:

  • assign and check guests into the residence hall and distribute keys and access cards to your guests,
  • give the Conference Coordinator a completed roster of counselors and guest names and room assignment numbers within 24 hours after check-in.

Day of guest departure:

  • return keys and access cards and guest evaluations

One to two days following guest departure:

  • meet with Conference Coordinator to confirm final lodging numbers, fees, and see damages billing information.
  • sign the final billing summary, indicating your acknowledgement of these charges.
